Share link security

Control who can access your study and for how long

You can add security to your study share links in four ways: password protection, name/email collection, expiry dates, and link deactivation.

Password protection

Password protection adds a layer of security to your share links. Anyone trying to access the link will need to enter the password you have set.

  1. Open your study and click Share.

  2. Under Advanced security settings, toggle on Password protect.

  3. Enter your password and click Set password.

To remove or change a password, click Share and either toggle off Password protect or click Reset password.

Setting a response limit

You're able to set a limit to the number of complete responses collected. This means you can avoid over paying your own participants that you invite to the study.

  1. Click Share.

  2. Under Advanced security settings, turn on Response limit.

  3. Enter your limit and click Set limit

To change a limit, enter a new number and select Set limit or toggle off the setting.

Collecting participant name and email (PII)

You can collect participants’ name and/or email address before they are able to join the session. This helps you identify and track individual participants.

  1. Click Share.

  2. Under Advanced security settings, toggle on Collect personal details (PII).

  3. Check either or both Name and Email address.

Note: Name collection will not be requested for participants from Ballpark’s recruitment partners.

Setting an expiry date

You can set your share link to automatically stop working at 11:59 pm (UTC) on a date you choose. This is useful for time-limited research.

  1. Click Share.

  2. Under Advanced security settings, turn on Set expiry date.

  3. Choose your date and click Set expiry.

To change or remove an expiry date, click Share and choose a new date or toggle off the setting.

Deactivating your share link

If your link has been shared too widely or you want to stop accepting responses, you can deactivate it. This makes the current link stop working immediately.

  1. Click Share.

  2. Under Share link status, click Deactivate share link.

  3. Confirm that you want to deactivate. This action cannot be undone.

Anyone who tries to use the old link will see an error message. You can generate a new link whenever you need one.

Note: All share link security settings also apply to recruited participants, except for PII collection.
